The AI Dilemma in Business: Productivity vs. Security

AI—the holy grail of efficiency—promises productivity, but also brings real risks if mismanaged: data leaks, exposed trade secrets, and regulatory penalties. Do all organizations truly understand the what (a clear protocol) and the who (compliance, yes—but also a cross-functional approach)? Total freedom and outright bans are both dead ends. What’s needed is a realistic, evolving strategy that balances security, efficiency, and training.

Artificial intelligence tools have entered the business world with a powerful promise: increased productivity. From virtual assistants automating routine tasks to advanced models capable of optimizing complex processes, AI is proving it can save time and boost efficiency.

However, alongside this potential emerges a dilemma that many organizations are still not addressing rigorously enough—or where protocols remain half-written or unvalidated: how can companies protect information privacy and security when employees use AI tools?

The leak in sensitive information

Today’s AIs are not static algorithms. They are machine learning models that train, refine, and evolve with each interaction. This means that any content input—no matter how harmless it may seem—can end up feeding these systems, causing a likely exposure of data that many companies are still unprepared to contain or limit.

And here lies the issue: AI does not distinguish between public information and strategic data. If an employee unknowingly inputs an internal document, financial forecast, or confidential agreement into an uncontrolled AI tool, the risks stop being theoretical and become a real threat.

Compliance: excessive obstacle or legitimate safeguard?

If companies want to authorize AI use without compromising their security, they must revisit their compliance policies. Without a clear framework, the use of these tools becomes a risk that is hard to manage.

Some key considerations for safe AI use:

Can a corporate strategy ensure both effective and secure AI use?

Yes and no. The key lies in the word “ensure.”

Yes it is possible (and necessary) to design a 6-step corporate strategy to integrate AI in a safe, efficient, and cross-functional way. But no strategy can indefinitely guarantee a perfect balance between widespread use and data security.

6-Step Corporate Strategy for Responsible AI Adoption

1. Initial Audit & Diagnosis

  • Identify which AI tools are in use (official or informal).
  • Assess the types of data being input (text, images, documents, etc.).
  • Classify risks by sensitivity level: confidential, internal, public.

2. Definition of Internal Policy Framework

  • Draft a corporate AI usage policy, including:
    • Approved tools and conditions for use.
    • What information can (and cannot) be shared with external tools.
    • Limits on generative AI (e.g., ChatGPT, Gemini, Copilot).
  • Embed these policies into the company’s code of ethics and compliance manuals.

3. Segmentation of Access and Tools

  • Limit public AI use for sensitive roles (legal, finance, R&D) or provide secure environments (on-premise or private cloud).
  • Offer safe internal alternatives for repetitive tasks (controlled automation).
  • Integrate AI into processes with human supervision (e.g., customer service with human review of outputs).

4. Ongoing Training and Awareness

  • Mandatory training for all staff on:
    • Best practices and AI-related risks.
    • Recognizing dangerous prompts or improper use.
    • Current legislation (GDPR, EU AI Act, etc.).
  • Promote a culture of “responsible AI” with real-life examples and supervised use cases.

5. Continuous Monitoring and Improvement

  • Set up an AI committee (or expand the tech committee) to:
    • Review AI use quarterly (or more frequently in early stages).
    • Identify emerging risks or uses.
    • Evaluate which processes can be AI-optimized safely.
  • Implement logging and traceability for data usage and automated decisions.

6. Contingency Planning and Incident Response

  • Clear protocols to:
    • Identify misuse or a data leak.
    • Notify the DPO and relevant stakeholders.
    • Mitigate reputational and legal impact.
  • Ensure vendor contracts include clauses for confidentiality, data traceability, and audit rights.

Managing uncertainty

Right now, companies must learn to manage uncertainty. That’s nothing new in business, where strategic management is precisely about planning under uncertain scenarios.

But what is new is the nature of the risk that comes with poor—or worse, absent—AI governance: exposure of sensitive data, breaches of trade secrets, or even severe regulatory sanctions.

The current scenario is complex: both extremes are equally problematic. Going all-in without control or banning AI outright are decisions that create more insecurity than certainty.

Better to have a protocol—however imperfect—and update it continually than to improvise.
